Frequently Asked Questions

What is the Pre-Bazaar Vendor Meeting for?
This meeting is for all registered vendors to come and see the venue, understand where they will be located, ask questions and meet other vendors and ceremony team members. This is not a required meeting, although it is especially helpful for first time vendors.

How big of a space does each vendor get?
The goal is to give each vendor the space they need.  Some vendors (i.e. food trucks, trailers, etc.) will need more than others.  Inside space is more limited than outside.

Does each vendor need to provide their own table, tent, chairs?
Yes.  The venue will not have enough tables and chairs to provide for vendors, so plan to bring your own.  Pop-up tents are also encouraged because it helps to identify a vendor space within the outdoor area.

Is it okay to hand out swag?
Sure, although it is not required.

Will vendors receive registration information about the attendees?
Yes, names and contact information of the Brides will be shared.

When will the vendor space assignments be communicated?
If not before, this information will be shared at the Pre-Bazaar Vendor Meeting on April 26th.

Will electricity be available?
Electricity is widely available inside the event barn.  For outside spaces, we will do our best to run extension cords as needed.  You may want to bring your own extension cords as well.  If your electrical needs will draw significant amperage, please contact the venue so that you are slotted into an adequate area.

When will we know how many guests to plan for?
If not before, this information will be shared at the Pre-Bazaar Vendor Meeting on April 26th.

What will the Bride receive at the check-in table?
The Bride will receive some official Southwest Wedding Bazaar tote bag which includes the event schedule, vendor directory and vendor location map, among other possible items.

What happens in case of rain or windy weather?
Each vendor will be responsible for their own space, so if rain is in the forecast please plan to bring a pop-up tent or an adequate solution for your space. Please seek venue manager approval before staking tents to ensure no underground lines are present.

Can I setup the day before?
The venue has an event scheduled on April 29th, so unfortunately we are not able to accommodate setup the day before.

What time can we begin teardown?
Teardown can begin at 7:30pm.  Please do not begin teardown prior to the event end.
